Job Title Onsite Community Manager of High-Rise Property
Job Description

Hammersmith Management, a Leader in Community Management currently seeks to fill the open position of Onsite Community Manager to m anage a residential high rise HOA by performing the following duties personally or t hrough subordinate staff. Also serves as preparatory position for future onsite general manager opportunities.

General Purpose of Job:

The purpose of the Community Association Manager is to facilitate, advise and assist Community Associations’ Board of Directors in the operation and management of their communities including education to Board members and owners, building community compliance/harmony and promoting the general welfare of the community. The Community Association Manager is responsible for managing the daily operations of the homeowners associations including property maintenance, financial operations, and managing vendor activity.

Essential Duties and Responsibilities: include the following. (Other duties may be assigned.)

  • Prepares annual budgets; approves invoices related to client’s accounts.
  • Monthly, review and approve invoices received from vendors for payment processing and disbursement.
  • Works with Accounting Department as related to accounts receivable, accounts payable and processing monthly financials for each community.
  • Advises Board of Directors as to changes that should be made to maintenance, upkeep, or reconditioning of property as specified in management services.
  • Regularly performs on-site property inspections making maintenance recommendations and noting failure of compliance related to associations governing documents.
  • Supervises maintenance and grounds keeping personnel and other onsite personnel.
  • Performs basic building maintenance duties; i.e. light maintenance from time to time such as snow removal, basic plumbing, custodial, etc.
  • Reviews maintenance and custodial checklists for timeliness and completeness.
  • Responsible for the timely development of monthly Board of Director packets including management report, minutes, financials, correspondence and related association business.
  • Draft minutes from Board of Director meetings as to actions taken at the meeting.
  • Advises Board of Directors as it relates to association’s financial status, operating budget and variances.
  • Works closely with association’s legal counsel and auditor.
  • Procures bids for all services provided by the Association including insurance, maintenance, pools, etc.
  • Prepares periodic inventory of building contents and property condition, and forwards listing to owner for review.
  • Responsible for the maintenance and accuracy of internal system databases.
  • Attends monthly association board meetings.

Qualifications:

To perform this job successfully, an individual must have basic Building Maintenance knowledge and able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

Education and/or Experience:

Associate's degree (A. A.) or equivalent from two-year college; or six months to one year related

experience and/or training; or equivalent combination of education and experience.

  • Accurate, Timely and Completed Discussion and Action Items
  • Accurate and Timely Owner Notices and Mailings
  • Understanding of Community Financials
  • Accurate and Timely Invoices and Coding
  • Accurate and Up to Date Legal Review
  • Accurate and Timely Annual Budget Preparation and Presentation
  • Inspections and Violations are completed, reviewed, escalated and closed
  • Accurate and On-Going Updates to RUN and Clinks
  • Responsiveness to Support Departments and Team Members
  • Clear and Timely Communication with Board Members and Homeowners. Logging of all calls and correspondence in RUN.
  • Deadlines are Met and Request for Information are Delivered
  • Client Retention
  • Ensuring services and contracts don’t lapse
  • Monthly payroll submittal on or before the 6 th of the month.

Green Mountain Townhouse Corp #1 is seeking a General Manager to manage 250 privately-owned townhouses and the common area.

Candidate must have excellent communication & customer service skills and experience*ability to manage multiple priorities and tasks*good business skills *a superior attitude *is self motivated with good common sense & will go the extra mile for our community members / residents

The successful candidate for this position will possess among other things the following:

*Experience with budgeting process for all operational aspects of a 25+ acre, 41 building town home association *Ability to produce budgets and long-term capitol plans to Board of Directors and make recommendations for their implementation *Strong communication skills including ability to communicate orally and in writing with the Board of Directors, owners, and tenants *Newsletter/customer communication experiences in both print, online, and social media *Computer literacy, including Excel, Word, Quick Books, Internet, e-mail, administering web pages, etc. Prior experience in all areas of community management, contract specifications, budgeting, service bids and contractor supervision required.

Bachelor’s degree / CAI certifications preferred.
